Outlook 2010 is an email client which interacts efficiently with the Oxford Nexus service. It provides access to your emails, tasks, calendar etc. providing you with a one stop shop for your groupware computing needs. The following instructions take you though how to configure the software from either a first install or an upgrade from Outlook 2007.
1. First Time Configuration
- Before starting Outlook for the first time, you will need to setup a new
Profile. A profile is the place where account details, data files and information stating where your emails are stored is kept by Outlook. - After you have installed the Office product on your machine, select
Outlook 2010 from
[Start]>[All Programs]>[Microsoft Office]>[Outlook 2010] - Outlook 2010 will open and show the following opening dialogue box:
- Immediately Outlook prompts you to create a profile for your account:
Either accept the default offering of
Outlookor type in your own name for the account. ClickOKto continue - The
Account Wizardopens:Click on the
Nextbutton to continue - The
Email Accountsscreen opens. Select the[Yes]and click onNext
- The
Add New Accountsetup screen opens:You now need to add in the following information:
- Once you have added the account information the
Nextbutton will become clickable. Click on theNextbutton to start the auto-configuration of your account Outlook auto-discovery servicewill now search for your account details on Nexus:
- A warning box will appear asking if you will allow
autodiscover.nexuswebsite to configure your account. Click on theAllowbutton to continue
- A
loginbox now appears which is partially completed.However, the information shown will be wrong. You need to type in your
usernamein the form ofabcd1234@nexus.ox.ac.uk. Then type in yourOxford Account (Single Sign-on) password - The auto-discovery service will now access your details and once done will
show that the process has been successful:
- Click on the
Finishbutton to complete the wizard.
2. Upgrading to Outlook 2010
- After you have installed the Office product on your machine, select
Outlook 2010 from
[Start]>[All Programs]>[Microsoft Office]>[Outlook 2010] - Outlook 2010 will open and show the following opening dialogue box:
- It will then inform you that it is configuring Outlook 2010 for its first
use:
- Next you will see a new box asking you for your Nexus login details:
Please note you need to add your username in the form of
abcd1234@nexus.ox.ac.ukand then add your Oxford Account (Single Sign-On) password in the appropriate box - The Outlook opening screen is shown again before a new dialogue box
appears asking if you will allow the
autodiscover.nexuswebsite to configure your account. Press theAllowbutton to continue
- Outlook will now continue to configure your account and this may take a few minutes.
- Once the account has been configured you will see your account's
InBoxwith all your emails. - You may also see a
Recommended Settingsbox:
- Choose which setting you wish Microsoft Office to use from the three available options
- Microsoft office will next download any updates it needs to complete its configuration
- Outlook will show a
Your mailbox is currently being optimizedmessage near the top of the screen:This will be removed automatically when Outlook has completed its configuration tasks. This may take a few minutes. Your account is now ready for use.
3. Add a new profile
In some instances you may find it useful to have more than one profile setup for use with Outlook. This is particularly useful if you have other Nexus email accounts that you wish to use separately from your main account or if you have other accounts with alternative suppliers (e.g. Gmail, Yahoo, Hotmail etc.). If you wish to see all your Nexus accounts under one profile see 4. Running multiple Nexus mailboxes under one profile. To add another profile:
- Open
Mailin Windows Control Panel via[Start]>[Control Panel]>[Mail]
N.B. Windows 7 and Vista users may need to do a search inside their
Control Panelto find theMailicon as its not normally shown - The
Mail Setup - Outlookscreen opens
- Select
Show Profilesbutton to see a list of current profiles
- To create a new profile, click the
Addbutton. A newProfilesdialogue box appears
- Type in a name for the new profile and click
OK - The
Add New Accountsetup screen opens:
- The set up instructions now follow those given from point 7 of the First Time Configuration instructions
If you wish to create a new profile but not to configure an email account at the same time:
- Follow the instructions above to point 6 above
- On the
Add New Accountscreen click on theCancelbutton - An alert box appears asking if you wish to configure a profile without an
email account or if you wish to end the configuration process. Click
OKto add the profile without an email account being configured. - The profile is now created and you will see it in the Mail profiles box
- Click
OKto finish and close the Mail screen
4. Running multiple Nexus mailboxes under one profile
If you are the owner of more than one Nexus account it is possible to see all of them under a single profile. However you may prefer to use separate profiles for each account instead (see 3. Add a new profile). If you would like to have all your Nexus mailboxes under a single profile then:
- Open Outlook and click on the
Filestab:
- The
Account Informationscreen appears. Click on theAccounts Settingsicon and select[Account Settings]from the menu
- The
Account Settingsscreen opens. Click on theChangebutton:
- The
Server Settingsscreen now appears:to continue
- The
Microsoft Exchangescreen appears:
- Click on the
Advancedtab to open it:
- Click on the
Addbutton to setup additional mailboxes - In the
Add Mailboxfield type in the email address of the mailbox you wish to add
- If the mailbox is not publically available in the GAL, then you can still
add it by typing:
/o=nexus/ou=Exchange Administrative Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=your_username_here - The name of the account is now added to the mailbox listing of the
Advancedtab - Click on the
OKbutton to return to theServer Settingsscreen. - Then click the
Cancelbutton on theServer Settingsscreen - Finally click the
Closebutton on theAccounts Settingscreen - The additional mailbox is now shown in the lefthand panel of Outlook. In this example it is called
Dreamweaver Workshop. Double click on the account name to open up the listing in the panel.
