Occassionally you may find that the University address book (the GAL) is not 'up to date' when viewed in Outlook 2010. This is due to Outlook storing or 'caching' a copy of the address book on your computer. To force a refresh of the address book follow the instructions below:
- Open Outlook and click on the
[Files]tab
- The
Account Informationscreen opens:
- Click on the
Account Settingsicon and select[Account settings...]from the drop down menu
- The
Email Accountsscreen opens, select the appropriate account and then click on theChangebutton:
- The
Server Settingsscreen is displayed. Under the sever name field there is a checkbox entitledUse Cached Exchange Mode. Untick this box to force address book synchronization with the server
- Click on the
Nextbutton - An alert message appears informing you that the change will not come into
affect until you have restarted Outlook. Click
OKto continue
- The
Congratulationsscreen appears. To close the wizard click on theFinishbutton
- You will return to the
Email Accountsscreen, ClickCloseto exit - Restart Outlook to complete the process. On restart you may find Outlook is slow to open up. This is due to the cache being switched off and is expected.
- If you check the
University Address Bookyou will see the latest version.
To restore
the caching, repeat the above and in step 5 click the Use Cached Exchange Mode
checkbox. Again you will need to restart Outlook for the change to be completed.
When you are using Cached Exchange Mode, an e-mail message may remain in the Outbox for up to one minute until the next synchronization with the server that runs Exchange occurs. If you want to send the message immediately, do the following:
