The Cisco 7941 telephone has the following capabilities:-
-Softkeys that assist with call handling.
-Programmable buttons that can support multiple extensions, speed dials, DND and many other features.
-LCD screen that allows you to see the progress of the call and incoming caller ID.
-Menu-driven functionality (Applications button and Navigation) and telephone personalisation.
-Message Waiting Indicator.
CALL HANDLING
> Making an Outgoing Call:
-Lift the receiver and dial the
required extension.
> Receiving a Call:
- Lift the receiver to answer the call.
-Using headset:- Press Headset buttton
-Using Speaker:- Press Speaker button.
> Ending a Call:
-Replace Receiver.
-Press EndCall soft
key.
-Using headset:- Press Headset buttton
-Using Speaker:- Press Speaker button.
> Redial:
- To call the last number, press the Redial soft key.
> Call Hold:
-Press Hold soft key.
-You can retrieve the call,
press the Hold soft key again.
> Call Transfer:
1) To transfer a call, press the Trnsfer soft key.
2) Enter the extension. You can hang up, or you can connect the call,
announce the caller and then hang up.
-or- You can press the EndCall soft key
to return to the caller
SETTING UP YOUR TELEPHONE
> Contrast:
1) Press the Applications button, scroll down, select
Settings, scroll down, select User Preferences.
2) Select the Contrast Soft
Key.
3) Use the Up and Down soft keys to adjust the contrast.
4) Select
OK.
5) Save the changes by selecting the Save soft Key.
> Change the Ringer tone:
1) Press the Applications button, scroll
down, select Settings, scroll down, select User Preferences.
2) Select Ring
type.
3) Press Select soft key.
4) Press scroll key to select ring
type.
5) To hear the ring tone, press the Play soft key.
6) To select a
tone, press Select, then the Ok soft key.
7) To save your selection, press the
Save soft key.
> Change the Ringer Volume:
-Whilst the receiver is in its cradle,
press the volume button (press the up arrow to increase, the down arrow to
decrease.)
> Change the Handset Volume:
- Whilst the receiver is off the hook,
or during an active call press the volume button (press the up arrow to increase,
the down arrow to decrease.)
THE INTERNAL DIRECTORY
You can now access the University Directory, to view and then
automatically call contacts. To do this:-
1) Press the Applications
Button.
2) Select Directories (option 2.)
3) Select University Directory
(option 5.)
4) -Use the letters on each dialing key to type in the name of the
contact you require.
- Use the navigation button to move between the different
fields
5) Once you have entered a sufficient amount of detail press
‘Submit.’
6) If your search yields more than one individual use the Navigation
button to scroll up and down, then press ‘Select.’
7) You will be given the
option of selecting the number to dial, or to view record details.
8) If you
select Number to Dial (option 1) you will be given the option of selecting the Dial
soft key- this will dial the number
(note: you can also edit the number if it
requires a prefix by clicking EditDial, once you have done this you will then be
given the option of dialing.)
HELP DESK AND RECEPTION FEATURES.
> Pick up Groups:
To set up a pick up group, the Telephone coordinator
will need to relay the extensions that are to be within the pick up group. Once this
is set up, you can pick up calls using the below instructions
-To pick up a
call that are within your pick up group, lift the receiver, press the More soft key
and then press the Pickup soft key.
> Switch between Active Calls:
1) Press the navigation button to scroll
between active calls.
2) Press the Select soft key.
> Missed Calls:
1) Press Directories.
2) For Missed Calls press 1
or Select.
> Voicemail:
1) Press the Messages button for voicemail.
> Conference calling:
1) Initiate the first call as a normal call.
2) Once you are connected to the caller press the More soft key, then select the
Conf soft key.
2) Dial the second telephone number.
3) When the call
is answered, press the Conf soft key.
4) You will all be connected in a
conference call.
